Location: Mercy Hospital – Mercy Campus (Coon Rapids, MN)
Job Status/Hours: Full-Time (40 hours per week)
Schedule: Monday–Friday, various shifts between 8:00 a.m. and 5:00 p.m.
Position Summary:
The Front Office/Scheduler is responsible for coordinating patient appointments, facilitating communication between departments, and managing inbound and outbound phone calls. This position plays a key role in ensuring a smooth and positive patient experience.
Training Requirement:
This role requires 100% onsite training at the Mercy Hospital – Mercy campus in Coon Rapids for an estimated 3–6 months. Following successful completion of training, the position will transition to a primarily remote/work-from-home role. Occasional onsite attendance may still be required based on departmental or operational needs, as directed by the manager.
The ideal candidate is flexible, adaptable, detail-oriented, and able to thrive in a fast-paced healthcare environment.
Key Responsibilities
• Schedule patient appointments, testing, and ancillary services using comprehensive knowledge of appointment types, locations, and providers
• Answer incoming calls from patients and families to assist with scheduling, call transfers, and provider messaging
• Place outgoing calls to patients to schedule appointments and testing
• Coordinate with provider teams to ensure ordered appointments and testing are scheduled and completed
• Track required follow-up appointments and notify patients when scheduling is needed
• Update and maintain accurate patient registration and demographic information
• Contact patients with appointment reminders and provide preparation instructions
• Perform administrative duties such as faxing and transcribing orders, as assigned
• Maintain strict patient confidentiality in accordance with HIPAA and organizational policies
• Prioritize workload effectively based on patient and departmental needs
Employment Requirements
• High school diploma or GED required
• Minimum of one year of experience in a healthcare front office or scheduling role
• Experience with Excellian or Epic preferred
• Strong customer service, communication, and computer skills
• Ability to learn quickly, multitask, and adapt in a fast-paced environment
