Virtual Legal Assistant – Personal Injury - Contract to Hire

Virtual Legal Assistant – Personal Injury Purpose ARA Legal Support is dedicated to assisting personal injury firms in helping injured victims in Texas. We are seeking a Virtual Legal Assistant who is coachable, able to follow directions and take constructive criticism all while being able to multitask in a fast-paced environment. The ideal candidate must be able to multi-task, pay attention to detail, be organized, and self-motivated. You will be accountable for accomplishing a variety of activities in a timely and professional manner, including supporting the lawyers and supervisors with any assigned tasks. The ideal candidate must have experience handling pre-litigation personal injury files, communicating professionally with clients, insurance adjusters, and medical providers, and managing tasks efficiently using modern legal technology platforms. This is a remote position requiring strong communication skills, urgency, professionalism, and the ability to multitask in a high-volume environment. • *MUST BE FLUENT IN SPANISH AND ENGLISH** Responsibilities • Manage personal injury cases during the pre-litigation phase • Maintain accurate and organized case files in Filevine • Communicate with clients regarding case updates, treatment status, documents, and next steps • Answer and manage inbound/outbound calls using RingCentral • Document all calls, notes, and updates promptly in Filevine • Coordinate with insurance companies, adjusters, medical providers, and clients • Assist with opening insurance claims and sending letters of representation • Request and organize medical records, bills, police reports, and supporting documentation • Monitor treatment progress and follow up with clients regularly • Assist in preparing demand packages and settlement documentation • Track deadlines and ensure timely follow-up on all assigned tasks • Manage email communication professionally through Microsoft Outlook • Escalate urgent matters to attorneys or supervisors when necessary • Maintain confidentiality and professionalism at all times Requirements • Experience in personal injury law required • Bilingual (English & Spanish) required • Excellent customer service and phone etiquette • Ability to multitask and work independently in a remote environment • Strong organizational and time management skills • Ability to handle sensitive and confidential information • Reliable internet connection and quiet work environment • Strong attention to detail and follow-through Preferred Qualifications • Experience working with Texas personal injury cases • Knowledge of bodily injury and property damage claims • Experience using Filevine preferred • Experience using RingCentral, Roam, and Microsoft Outlook preferred • Familiarity with medical records and billing procedures • Experience communicating with insurance adjusters and providers • Understanding of pre-litigation workflows and settlement processes Performance Expectations • Timely and accurate documentation in Filevine • Professional communication with clients and third parties • Consistent follow-up and task completion • Ability to manage a high volume of calls and case activity • Maintain responsiveness and accountability throughout the workday Schedule • Full-time remote position (M-F 9AM-5PM) • Must be available during business hours (CST preferred) Compensation/Benefits •$5-8/hr (Based on experience and qualifications) • Opportunities for advancement • Paid time off once a year employed
