Remote Executive Assistant [Prefer Argentina or Brazil Based] To support an Author, Professional Speaker, & Leadership Thought Leader • Half time or full time options can be considered for an impressive candidate • Pay range posted is for full time arrangement. We’re seeking a very organized and high integrity Remote Work Virtual Assistant to provide administrative and operational support to a California based author, professional speaker, and leadership thought leader. This remote position needs strong English communication skills, attention to detail, and the ability to manage priorities while demonstrating integrity. This role will provide a direct view into the professional world of international leadership development. Key Responsibilities Calendar & Event Management • Manage scheduling across time zones for speaking engagements, interviews, and meetings • Coordinate travel • Schedule virtual meetings, webinars, and podcast recordings • Manage speaker logistics for speaking engagements, including communicating technical requirements and managing material preparation • Track deadlines for speaking commitments, and content deliverables Communications Management • Monitor and manage email correspondence, prioritizing urgent communications • Screen and direct meeting requests • Send professional correspondence, thank-you notes, and follow-up communications • Coordinate with media contacts, event organizers, and business partners Business Operations • Maintain CRM systems and contact databases • Process invoices, expense reports, and basic bookkeeping tasks • Coordinate with accountants and other professional service providers • Manage vendor relationships and service contracts • Handle basic website maintenance and updates coordination Speaking Engagement Support • Prepare speaker packets, bios, and promotional materials • Coordinate pre-event logistics with organizers • Manage post-event follow-up and relationship building • Track speaking fees, contracts, and payment processing QualificationsExperience & Skills • Administrative experience, preferably supporting C-level executives • Calendar management and travel coordination • Proficiency in project management and ability to handle multiple priorities • Strong written and verbal communication skills Technical Proficiencies • Google Workspace (Gmail, Calendar, Drive, Docs) • Some Contact Management software • Video conferencing platforms • Project management tools Personal Attributes • Exceptional organizational skills and attention to detail • Strong discretion and confidentiality • Proactive problem-solving mindset • Ability to work independently with minimal supervision • Strong time management skills and deadline-driven approach • Professional demeanor • Adaptability and flexibility Preferred Qualifications • Bachelor's degree or equivalent professional experience • Experience supporting executives • Familiarity with contract basics Work Environment & Schedule • Fully remote position with flexible hours • Must be available during significant core business hours in California • Very little evening or weekend work for events and quick deadlines • Half time or full time options can be considered for an impressive candidate Compensation & Benefits • Competitive salary commensurate with experience • Flexible PTO policy • Technology and home office allowance available How to Apply Please submit your resume, cover letter, and professional profile link.
