Scheduling & Logistics Coordinator -(Part-Time, Remote, Contract) Job Summary: We are seeking a highly organized and tech-savvy Scheduling & Logistics Coordinator to manage scheduling, client communications, and logistics. This position is remote. The Coordinator ensures all assignments are filled promptly, schedules are updated and confirmations are sent regarding client appointments. Communication with staff occurs across multiple platforms. This part-time, remote position requires strong multitasking abilities, excellent communication skills, and technological proficiency. This position may include some remote hours. Requirements: • Associates degree preferred. • At least 3 years of experience managing multiple calendars • Ability to work 10a-2p EST Mondays & Tuesdays, 10a-1p EST Wednesdays & Thursdays and 10a-12p EST Friday. There is the possibility of more hours • Key Responsibilities: • Update and maintain scheduling to ensure adherence to planned timelines. • Create new and edit existing appointments in the company calendar • Communicate with clients via phone, text, and email to confirm appointments and provide updates. • Coordinate with staff to fill assignments and ensure proper coverage. • Track and update logistical details to ensure smooth operations. • Utilize multiple software platforms to manage scheduling, data entry, and communications. • Send out confirmations and reminders to clients and team members. • Ensure accuracy in all communications, including spelling, grammar, and formatting. • Quickly learn and adapt to new software and processes. • Work efficiently under time constraints to meet deadlines. • Other projects, as assigned. Qualifications: • At least 3 years of experience in scheduling and logistics coordination. • Excellent multitasking abilities with strong attention to detail. • Exceptional written and verbal communication skills. • Highly proficient with computers and various software platforms. • Proficiency with Google Chrome and Microsoft platforms (Outlook, Excel, Word, Teams, OneDrive, etc.) is required. • Ability to learn new systems and processes quickly. • Strong problem-solving skills and ability to work independently. • Experience working in fast-paced environments where accuracy and efficiency are key. • Ability to “hit the ground running” with minimal training. Remote Work Requirements: • A reliable cell phone with strong reception. • A computer with dual monitors and a stable, high-speed wired internet connection. • Minimum Internet Speed Requirement: 100 Mbps download / 10 Mbps upload (higher speeds preferred). • Must complete an internet speed test before hire.
