The Operations Coordinator role is focused on supporting day-to-day operations, including invoicing, itinerary production, and administrative coordination, ensuring efficient workflows for the advisor network.
Responsibilities
- Monitor and manage designated inboxes for booking confirmations, updates, and cancellations
- Review submissions for completeness and accuracy
- Enter and manage booking and commission data within internal systems
- Build and format itineraries based on advisor instructions using designated platforms
- Provide responsive support to advisors, including supplier portal access, account and systems troubleshooting, and researching solutions to uncommon problems
- Maintain organized file structures and documentation standards
- Track, log, and follow up on open items through completion within established turnaround standards
- Verify all entries against source documentation before submission
- Attend and participate in all scheduled team meetings and standing check ins
- Route requests and coordinate across internal workflows and external partners when needed

- Consistent, dependable availability during scheduled hours, including standing meetings
