The Operations Coordinator serves as a key operational partner supporting cross-functional initiatives and is responsible for coordinating projects, managing vendor relationships, and ensuring seamless communication between internal stakeholders and external partners.
Responsibilities
- Coordinate cross-functional operational initiatives from planning through execution
- Track project timelines, deliverables, dependencies, and risks
- Maintain operational documentation, SOPs, workflows, and process maps
- Prepare reports, dashboards, meeting agendas, and executive summaries
- Support leadership with operational planning and special projects
- Partner with Technical teams to coordinate system implementations, enhancements, and vendor integrations
- Assist with gathering business requirements and documenting operational needs
- Support rollout of new tools and operational systems
- Collaborate with Procurement to monitor inventory planning, vendor performance, purchasing timelines, and operational needs
- Coordinate communication regarding product availability, supply chain issues, and procurement priorities
- Identify operational efficiencies related to purchasing and inventory workflows
- Serve as the primary operational liaison for assigned vendors and service providers
- Coordinate onboarding of new vendors
- Monitor vendor performance against established service levels (SLAs)
- Schedule recurring business reviews with vendors
- Foster productive, collaborative relationships that support organizational goals
- Maintain operational reports and dashboards
- Analyze operational metrics to identify trends and improvement opportunities
- Coordinate meetings, action items, and follow-up activities
- Prepare presentations and executive communications
- Provide operational support for strategic initiatives as assigned
Skills
- Bachelor's degree in Business Administration, Operations Management, Project Management, or related field (or equivalent experience)
- 3–5 years of operations, project coordination, or business operations experience
- Experience working with cross-functional teams
- Strong organizational and project coordination skills
- Excellent written and verbal communication abilities
- Experience using project management platforms
- Strong analytical and problem-solving skills
- Experience working with technical or software development teams
- Experience supporting procurement or supply chain operations
- Vendor management experience
- Experience creating dashboards and operational reporting
- Familiarity with healthcare, telehealth, pharmacy, or regulated industries
