The Human Resources Assistant provides administrative and operational support for all HR functions, including recruitment, onboarding, compliance, and employee experience.
Responsibilities
- Post and manage job advertisements across recruiting platforms
- Review incoming applications and screen candidates against minimum qualifications
- Coordinate interviews with hiring managers and candidates
- Communicate with applicants throughout the hiring process
- Conduct reference checks as requested
- Prepare offer letters and employment documentation
- Maintain applicant tracking records and recruiting reports
- Coordinate all new hire onboarding activities
- Prepare new hire paperwork and employment documentation
- Ensure completion of required employment forms and background checks
- Coordinate IT equipment requests, system access, badges, and workspace setup
- Schedule orientation and onboarding meetings
- Maintain onboarding checklists to ensure a seamless employee experience
- Coordinate employee separations and exit processes
- Schedule exit interviews when applicable
- Collect company equipment and access credentials
- Coordinate system access removal with IT
- Ensure personnel files are updated and archived appropriately
- Maintain confidential employee personnel files and HR documentation
- Organize and maintain digital HR records and document repositories
- Track required employee certifications, licenses, and training
- Assist with employee policy acknowledgments and compliance documentation
- Support HR reporting and recordkeeping
- Respond to routine employee questions regarding HR policies and procedures
- Assist with benefits enrollment and employee communications as needed
- Ensure employee documentation complies with federal, state, and company requirements
- Maintain I-9 documentation and employment verification records
- Assist with audits of personnel files
- Help maintain employee handbook acknowledgments and required compliance documentation
- Protect confidential employee information and maintain discretion at all times
- Schedule meetings and maintain HR calendars
- Prepare correspondence, reports, and presentations
- Assist with company events, employee recognition activities, and training coordination
- Order HR and office supplies as needed
- Support special HR and Operations projects assigned by the COO
Skills
- Associate degree in Human Resources, Business Administration, or related field, or equivalent work experience
- 1–3 years of administrative, HR, recruiting, or office management experience
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- High level of professionalism and confidentiality
- Proficiency with Microsoft Office and Google Workspace
- Ability to manage multiple priorities with attention to detail
- Excellent interpersonal relations and demonstrated ability to work with others effectively in teams
- Strong commitment to integrity
- Experience with HRIS or applicant tracking systems
- Experience supporting recruiting or talent acquisition
- Knowledge of employment laws and HR best practices
- HR certification (SHRM-CP, PHR, or willingness to pursue certification) is a plus
