Mission: To provide a blend of structured operational support and high-vibe marketing execution for Kate’s coaching practice. About the Role We are looking for an Executive and Marketing Assistant who is a unique blend of "Fluid and Structured." Kate is a high-energy leader who travels frequently; she needs a partner who can stay grounded, maintain the rhythm of the business, and care deeply about the transformational work being done. This isn’t just a "task-taking" role. You will be the steward of Kate’s voice—listening to her podcasts, capturing her "gold," and turning it into a consistent content engine on Kajabi and social media. You are someone who thrives on personal development and is excited to nurture a community of growth-minded individuals. The Ideal Candidate You are a proactive professional who feels more like a "Partner" than an "Assistant." You are organized enough to manage a QuickBooks sheet but creative enough to turn a 30-minute podcast into a month’s worth of relational content. You are looking for a long-term home where your work truly changes lives. Core Responsibilities 1. Marketing & Kajabi Ecosystem (Good Proficiency Required) Kajabi Architecture: Build new landing pages from scratch, including complex funnels and backend automations. The Content Rhythm: Develop a cadence for brainstorming with Kate. You will listen to her podcasts, extract "mini-lessons," and turn them into weekly emails and social media posts. Paid Growth: Create and manage Instagram Ads and funnels specifically for the Mini Saboteur Course. Multi-Channel Strategy: Manage social media analytics, YouTube podcast uploads, and design all branded graphics/posters in Canva. 2. Financial & Admin Accountability Financial management: Meet with Kate weekly to categorize business vs. personal expenses. You will act as her "Accountability Partner," entering receipts into QuickBooks and coordinating with her bookkeeper. Inbox Gatekeeping: Manage Kate’s inbox by drafting responses to inquiries and staying ahead of requests. Merchandise: Research and propose branded merchandise designs to elevate the brand experience. 3. Client Experience & Course Moderation Onboarding: Handle the "First Impression"—sending invoices, agreements, and calendar invites to new clients. Gifting: Research and coordinate meaningful gifts for new clients to foster a nurturing brand connection. Live Support (Saturdays): Once a month, you will moderate Kate’s online courses. This includes managing breakout rooms, welcoming participants, and handling all post-event recordings and emails. 4. Project & Event Logistics Timeline Ownership: Manage the moving parts of Kate’s events and projects. Because Kate travels often, you must be the "anchor" that ensures deliverables are met and logistics are handled. Non-Negotiables Kajabi Mastery: You must be highly proficient in building landing pages and automations. Personal Development Enthusiast: You are genuinely interested in this field and have already listened to Kate’s podcast. Nurturing Spirit: You are excited, caring, and protective of the work Kate does with her clients. Extreme Flexibility: You can pivot quickly when Kate is traveling and are comfortable with the monthly Saturday workshop commitment.
