Operations Manager/Chief of Staff (Healthcare / MedTech Startup)
About the Role
We are a fast-growing medical device / health-tech company deploying AI-driven diagnostic technology in hospital settings. As we scale from an early-stage team into our next phase of growth, we’re hiring an Operations Manager to own and build the operational backbone of the business.
This is a highly cross-functional role with visibility across customers, field teams, RD, regulatory, and executive leadership. You’ll balance hands-on execution (scheduling installs, coordinating hiring, managing submissions) with building scalable processes that support long-term growth.
What You’ll Do
Customer & Hospital Operations
• Serve as the primary point of contact for physician customers and hospital administrators
• Coordinate hospital installations end-to-end (IT connectivity, integrations, billing setup)
• Track onboarding from contract through go-live and ongoing support
• Maintain CRM data and ensure visibility into customer activity
Field Team Coordination
• Schedule and deploy field-based clinical/technical teams to customer sites
• Build and manage service ticketing and tracking systems
• Establish KPIs and performance metrics as the team scales
• Act as escalation point for complex field issues
Regulatory & Compliance
• Coordinate regulatory submissions and communications (e.g., FDA)
• Support reimbursement and compliance workflows (e.g., CMS)
• Track documentation, timelines, and external communications
• Assist with industry engagement (conferences, abstracts, professional societies)
Hiring & Team Buildout
• Lead recruiting for key commercial and field roles
• Draft job descriptions, screen candidates, and manage interview processes
• Build onboarding workflows and foundational HR processes
• Partner with external recruiters as needed
Business Operations Leadership Support
• Support leadership with meeting prep, research, and follow-ups
• Coordinate customer and stakeholder meetings, travel, and logistics
• Help implement systems, reporting, and infrastructure to support scale
• Contribute to building the foundation for future commercial operations
What We’re Looking For | Required
• 5+ years in operations, program management, or chief-of-staff type roles within healthcare, medtech, or health-tech
• Experience in early-stage or high-growth environments
• Familiarity with regulatory and reimbursement processes (FDA, CMS)
• Experience coordinating field-based teams (clinical specialists, service engineers, etc.)
• Comfortable working with hospital systems (IT, procurement, administration)
• Strong communication skills with the ability to interface with clinicians, executives, and external stakeholders
• Experience with tools such as Salesforce, HubSpot, Asana, Jira, or similar
