About The Role
We are seeking a dedicated HR / Recruiter / Office Administrator to join our team. This multifaceted role is pivotal in managing the administrative functions of our office while leading recruitment and onboarding efforts for our traffic control field staff. The ideal candidate will be the first point of contact for prospective employees, providing a welcoming and professional experience.
They will also support employee relations, ensure compliance with HR policies, and facilitate smooth office operations. Qualifications
Required:
• High school diploma or GED; an Associate’s or Bachelor's degree in HR, Business, or a related field is preferred.
• Minimum of 2-3 years of experience in an administrative or HR role, preferably within construction, transportation, or traffic control industries.
• Experience with payroll processing, including certified payroll management.
• Strong knowledge of recruitment processes and onboarding procedures.
• Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• Exceptional written and verbal communication skills.
• Ability to handle confidential information with discretion and professionalism.
Preferred
• PHR Certification or similar HR accreditation.
• Experience working within the construction, transportation, or traffic control sectors.
Responsibilities
Human Resources and Recruitment
• Assist in creating and posting job advertisements across various platforms to attract qualified candidates for field and office roles.
• Screen resumes, conduct initial phone interviews, and coordinate in-person interviews to ensure a smooth hiring process.
• Perform background checks, drug screenings, and verify certifications or licenses required for traffic control staff.
• Coordinate and schedule employee orientations, training sessions, and ongoing development programs.
• Support onboarding by ensuring all new hire documentation, including I-9s, W-4s, and E-Verify, are completed accurately and timely.
• Maintain comprehensive employee files in both digital and paper formats, ensuring compliance with legal and company standards.
• Assist in managing timekeeping and payroll processes for hourly field staff, ensuring accuracy and timeliness.
• Monitor and track certifications, licenses, and training requirements such as flagger certifications, renewing them as necessary.
• Support HR initiatives, policy updates, and compliance efforts to promote a positive and compliant workplace environment.
Payroll Support
• Assist with maintenance and troubleshooting of time tracking systems to ensure accurate record-keeping.
• Support payroll corrections, adjustments, and preparation of certified payroll reports in accordance with federal, state, and local regulations.
• Coordinate with the payroll department to facilitate timely and accurate processing of employee wages.
Office Administration
• Manage incoming and outgoing mail, deliveries, and office supplies to ensure operational efficiency.
• Provide administrative support to field supervisors and management, including document preparation and record keeping.
• Gather and maintain all contractual documentation, including Certificates of Insurance (COIs), W-9 forms, and project-specific details.
