Experienced Virtual Assistant, Bookkeeper, and Data Entry Coordinator – Apparel and E-commerce Operations

As we continue to grow and expand our operations, we're seeking a highly skilled and organized Virtual Assistant, Bookkeeper, and Data Entry Coordinator to join our team. **About the Role** We're looking for a highly motivated and detail-oriented individual to support our administrative, bookkeeping, and data entry functions. As a key member of our operations team, you'll be responsible for ensuring the smooth day-to-day running of our business, from bookkeeping and data entry to email communication and ERP system integration. If you're a professional with excellent organizational skills, a keen eye for detail, and a passion for delivering exceptional results, we want to hear from you. **Key Responsibilities** As our Virtual Assistant, Bookkeeper, and Data Entry Coordinator, you'll be responsible for the following key tasks: * Validation of customer orders regarding quantities and quotations – entry into the system * Entry of purchase orders into the system and submission to suppliers * Entry of goods received and supplier invoices into the system * Issuance of invoices to customers * Preparation of account statements for suppliers and customers * Allocation of payments for purchase and sales invoices * Maintenance of accurate and up-to-date records and reports * Coordination of monthly reporting and reconciliation * Integration with ERP system to ensure seamless data flow * Communication with suppliers, customers, and internal teams through email, Slack, and ClickUp **Essential Qualifications** To be successful in this role, you'll need: * 2+ years of experience in bookkeeping, data entry, or a related field * Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines * Excellent communication and interpersonal skills, with the ability to work effectively with internal teams and external stakeholders * Proficiency in ERP systems, with experience in data entry and system integration * Strong attention to detail and accuracy, with a keen eye for numbers and financial data * Ability to work independently and as part of a team, with a flexible schedule and willingness to adapt to changing priorities * Strong problem-solving skills, with the ability to think critically and creatively * Proficiency in Microsoft Office, with experience in Excel, Word, and Outlook **Preferred Qualifications** While not essential, the following qualifications would be highly desirable: * Experience in the apparel or e-commerce industry * Certification in bookkeeping or accounting (e.g. QuickBooks, Xero) * Experience with cloud-based accounting software (e.g. QuickBooks Online, Xero) * Familiarity with project management tools (e.g. Asana, Trello) * Experience with customer relationship management (CRM) software **Skills and Competencies** To succeed in this role, you'll need to possess the following skills and competencies: * Strong analytical and problem-solving skills * Excellent communication and interpersonal skills * Ability to work independently and as part of a team * Strong attention to detail and accuracy * Proficiency in ERP systems and data entry * Ability to prioritize tasks and meet deadlines * Strong organizational and time management skills * Flexibility and adaptability in a fast-paced environment **Career Growth Opportunities and Learning Benefits** At careerzynith, we're committed to supporting the growth and development of our team members.
