We're seeking a highly organized, tech-savvy, and bilingual (English & Spanish) Executive Assistant to support our management team in a dynamic, fast-growing structural concrete subcontracting company based in Southern California. This full-time remote role offers an exciting opportunity to contribute to a U.S.-based business while working within your local region. Location & Schedule • Location: Remote – Applicants must be based in Latin America • Schedule: Monday – Friday, 7:00 AM – 4:00 PM Pacific Time (Full-Time) Compensation Monthly salary of $1,500 USD on a contract basis. This is a competitive, regionally appropriate rate designed to provide stable, motivating income in Latin America, with excellent opportunities for growth within our values-driven, U.S.-based company. About the Role Become a vital part of our team supporting leadership with operational efficiency, calendar management, communication, and light marketing tasks. This is a remote role that requires your availability during Pacific Time hours, enabling seamless collaboration with our California-based management. Ideal candidates are fluent in both English and Spanish, detail-oriented, proactive, and passionate about bringing structure and accountability to a high-growth business. Key Responsibilities • Manage calendars, inboxes, meetings, and priorities for the leadership team • Organize and triage over 100 emails daily, identifying critical items and responding to or dismissing low-priority emails • Attend or review internal meetings, take notes, assign follow-ups, and track accountability • Use AI tools (like ChatGPT) to draft emails, generate summaries, and streamline workflows • Build and maintain standard operating procedures (SOPs), organize digital files, and manage shared drives (Microsoft 365, SharePoint) • Assist in implementing and managing task-tracking platforms (Microsoft Planner, Asana, etc.) • Coordinate travel arrangements, scheduling, birthdays, and provide light personal support • Support basic marketing activities such as LinkedIn posting and website updates (WIX) Ideal Candidate Profile • Located in Latin America • Fluent in both English and Spanish (spoken and written) • Minimum of 3 years experience as an Executive Assistant or similar role • Exceptional communication, organization, and problem-solving skills • Proficiency with Microsoft 365, HubSpot, task management tools, and cloud platforms • Experience with AI productivity tools like ChatGPT • Proactive, responsive, and capable of working independently • Comfortable holding others accountable and ensuring leadership stays focused How to Apply Please submit the following: • Your resume • A brief cover letter explaining why you’re the perfect fit for this role • A sample professional email or follow-up message (bonus if AI-assisted) • Your current location and confirmation of availability to work Pacific Time hours ️ Notes for U.S. & Canadian Applicants While we appreciate interest from applicants in the United States and Canada, this position is structured as a full-time contractor role with a compensation of $1,500 USD/month.
