Position Overview We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to directly support the Founder. This role is critical to ensuring the smooth execution of daily operations, managing high-level priorities, and enabling the Founder to focus on strategic initiatives. The ideal candidate thrives in a fast-paced environment, maintains strict confidentiality, and demonstrates strong communication, problem-solving, and organizational skills. Key Responsibilities: Executive Support & Coordination Serve as the primary point of contact between the Founder and internal/external stakeholders Manage complex calendars, including scheduling meetings, calls, travel, and appearances Screen, prioritize, and respond to emails, calls, and correspondence on behalf of the Founder Prepare agendas, briefing materials, and follow-ups for meetings Ensure the Founder is fully prepared for all meetings and key commitments Administrative & Office Management Draft, proofread, and format legal and business documents Prepare reports, presentations, and executive summaries Maintain organized documentation and filing systems Assist with developing, updating, and implementing SOPs Support day-to-day operational efficiency across departments Client & Case Management Support Coordinate meetings between attorneys, clients, and external parties Handle confidential and sensitive case-related information with discretion Ensure accurate documentation of client communications Project & Event Management Coordinate firm-wide events, workshops, and networking engagements Manage logistics for travel, meetings, and internal activities Support outreach and marketing initiatives (contact lists, coordination, follow-ups) Technology & Process Optimization Utilize legal and business software (e.g., Filevine, CRM tools) to improve workflow Support implementation of systems, tools, and process improvements Maintain and optimize digital organization and workflows Requirements 2+ years of experience as an Executive Assistant or in a similar high-level administrative role Experience supporting C-level executives or founders preferred Strong organizational and time-management skills with the ability to multitask Excellent written and verbal communication skills High level of discretion and confidentiality Proficiency in Microsoft Office, Google Workspace, and CRM/tools Ability to work in a fast-paced, dynamic environment Preferred Qualifications Experience in a law firm or professional services environment Familiarity with legal processes (intake, case management, documentation) Project management or operations experience Bilingual is a plus (English/Arabic or English/Spanish) Salary rate: $6 USD per hour, depending on experience, for a 40-hour workweek.
