Executive Assistant and HR Coordinator Remote Position | Preference for Candidates Located in the Inland Empire, CA or DFW Area, TX On Duty Health is a growing occupational health company providing onsite wellness and medical screening services for firefighters, law enforcement, and other public safety agencies across multiple states. We are seeking an Executive Assistant & HR Coordinator to support executive leadership, assist with HR and operational coordination, and help bring organization and consistency to a fast-moving remote company. This role is ideal for someone who is highly organized, proactive, emotionally steady, and enjoys helping teams and systems run smoothly behind the scenes. While this is a remote position, strong preference will be given to candidates located in the Inland Empire region of Southern California or the Dallas–Fort Worth area of Texas. Key Responsibilities and Executive Support • Manage calendars, meetings, and scheduling coordination • Track leadership action items and follow-up tasks • Assist with travel coordination and administrative support • Help organize operational documents, SOPs, and internal resources • Draft and coordinate internal communications HR and People Operations Support • Coordinate onboarding and offboarding processes • Maintain employee files and documentation • Track trainings, certifications, and policy acknowledgements • Assist with recruiting coordination and interview scheduling • Support benefits and HR administrative processes Operational Coordination • Help improve communication flow across departments • Assist with process documentation and organization • Support project coordination and follow-through • Help identify opportunities to improve efficiency and consistency Qualifications • Strong organizational and communication skills • Ability to manage multiple priorities in a fast-paced environment • High level of professionalism and discretion • Strong attention to detail and follow-through • Comfortable working independently in a remote setting • Experience supporting executives, HR functions, operations, or project coordination preferred • Proficiency with Microsoft Office, Teams, and cloud-based systems preferred What We’re Looking For We are looking for someone who is: • proactive rather than reactive • solutions-oriented • calm under pressure • highly dependable • adaptable and collaborative • professional and kind in communication • comfortable helping create structure within a growing company Experience in healthcare, occupational health, remote operations, or public safety environments is a plus, but not required. Salary range expected to be approximately $65,000–$85,000 depending on experience and qualifications.
