Key Responsibilities : • Strategy & Foundation Building • Further develop and implement Online Archive Email Clean-up initiative prior to implementation of embedded email deletion controls. • Develop and execute a comprehensive project plan for a phased email deletion rollout, defining clear milestones, timelines, and success metrics. • Documenting lessons learned to inform future phases of both email deletion and the future-state Information Governance strategy. • Establish repeatable processes for identifying, classifying, and purging data that can be applied to other repositories in subsequent phases. • Stakeholder & Conflict Management: • Act as the primary liaison between Records Management, EUS, Corporate Communications, IT and business units to harmonize retention rules with operational needs. • As project manager align and coordinate deliverables across different functions ensuring all parties are aligned on the plan, timing and expected outcomes. • Prepare for regular project status meetings and monthly reports highlighting progress across defined KPI’s for executive stakeholders • Proactively identify and resolve conflicts between business practices and deletion goals, escalating critical issues to leadership as needed. • Education & Change Management: • Design and drive an enterprise-wide education plan to instruct staff on the records management process and specific retention schedules. • Ensure employees understand the "why" behind the policy to minimize resistance and drive the cultural shift necessary for broader IT transformation. • IT Partnership: • Collaborate with IT and EUS teams to configure and implement automated retention rules. • As appropriate, seek technical configurations that are scalable and adaptable for future integration with other data platforms. • Content Development: • Ensure development of "how-to" guides and best practice documentation for end-users. • Develop comprehensive training materials and support resources to ensure a smooth transition. • Ensure ongoing change management communications are planned, coordinated with Corporate Communications team executed • Lead enterprise email deletion & records governance program • Reduce over-retained email data and build a scalable governance framework • Own end-to-end program delivery (timeline, KPIs, reporting) • Drive records retention & deletion strategy • Lead cross-functional teams (Compliance, IT, Business) • Execute change management, training, and adoption Key Requirements and Technology Experience: • Must-Have Skills : Information Governance SME (records retention & deletion) • Enterprise Program Management (cross-functional execution) • Email Repository Experience (MANDATORY) • Microsoft O365 / Email Systems knowledge • Strong stakeholder + change management • Highly regulated industry (Finance preferred) • Experience with large-scale data cleanup / governance programs • Project Management: Proven track record of leading complex, cross-functional projects. • Records Management: Deep understanding of document lifecycles, retention schedules, and the legal/regulatory requirements for electronic records. • Change Management: Strong ability to lead people through organizational transitions and influence cultural shifts through training and communications. • Future-State Vision: Ability to execute immediate project tasks while keeping the long-term goal of multi-repository governance in focus. • Relevant certifications such as PMP (Project Management Professional) or CRM (Certified Records Manager). • Prior experience in Information Governance or large-scale data minimization initiatives.
