Our Client is seeking a highly organized, proactive Travel & Events Manager to support a C-Suite Executive while coordinating travel and event logistics across a global organization of 1,100+ employees.
This is a hands-on, high-visibility contract role where your ability to anticipate needs, solve problems in real time, and deliver seamless experiences will make an immediate impact.
What You’ll Be Doing✈ Executive Travel Management
• Manage complex domestic and international travel for C-Suite Executive(s)
• Coordinate flights, accommodations, ground transportation, and visas
• Create detailed, easy-to-follow travel itineraries
• Proactively adjust travel plans in real time (delays, cancellations, changes)
• Partner closely with Executive Assistants to align schedules and priorities
• Ensure travel aligns with company policies while optimizing efficiency and comfort
Global Travel & Event Coordination
• Coordinate travel across a global organization (1,100+ employees)
• Manage individual and group bookings for offsites, internal events, and customer meetings
• Negotiate hotel rates and secure room blocks for group travel
• Liaise with hotels and venues to ensure smooth logistics
Events, Offsites & Meetings
• Support planning and execution of internal events and customer-facing meetings
• Develop and manage meeting agendas and timelines
• Coordinate guest speakers and presenters
• Oversee event logistics from planning through execution
Operations & Vendor Management
• Maintain accurate travel records, confirmations, and documentation
• Build strong relationships with travel vendors and hotels
• Track travel spend and identify cost-saving opportunities
• Ensure compliance with company policies and budgets
• Provide responsive, high-touch support to travelers and event participants
• Assist with event materials, gifts, and purchase orders (POs)
What We’re Looking For
• Experience in travel coordination, executive support, or operations
• Proven ability to manage executive travel and group logistics simultaneously
• Experience with event planning, agenda management, and speaker coordination
• Strong organizational skills with exceptional attention to detail
• Ability to manage multiple priorities in a fast-paced environment
• Excellent communication and stakeholder management skills
• Confidence negotiating with hotels and vendors
Nice to Have
• Experience coordinating international travel and visa processes
• Background supporting C-Suite executives
• Familiarity with enterprise travel or expense platforms
