The client is a growing portfolio of three affiliated, doctor-led healthcare and wellness businesses focused on premium patient care, wellness optimization, and direct to consumer supplement sales. The portfolio includes Pure Wellness Medical Rx, a nutraceutical and supplement brand, Pure Wellness Medical, a concierge medicine practice, and Suarez Medical, a pain management practice. The client is currently scaling its digital presence, authority, and patient acquisition efforts through content, social media, paid advertising, and full funnel marketing strategies. They are seeking a highly independent marketing professional who can take full ownership of the marketing function across all three brands.
About the Role:
The client is seeking a bilingual Sales & Appointment Coordinator to support patient acquisition, appointment setting, and sales activities across multiple healthcare businesses. The role combines consultative sales, patient communication, CRM management, and administrative support responsibilities. The selected candidate will primarily focus on converting and nurturing high quality concierge medicine leads, booking appointments for the pain management practice, and occasionally supporting supplement upsell efforts. During slower sales periods, the role will also assist with back office and administrative support tasks. This position requires excellent spoken English, strong communication skills, professionalism, and the ability to build trust with both English and Spanish speaking patients.
Key ResponsibilitiesConcierge Sales & Lead ConversionConduct consultative sales calls with warm, high quality concierge medicine leads
Educate prospective patients about membership programs and wellness services
Build rapport naturally and guide leads through the enrollment process
Maintain consistent follow up through calls, email, SMS, and CRM workflows
Appointment Setting & Patient CoordinationQualify inbound leads and schedule consultations for the pain management practice
Confirm appointments and maintain communication to reduce cancellations and no shows
Assist with patient inquiries while maintaining professionalism and empathy
Coordinate scheduling and communication across multiple business lines
CRM & Pipeline ManagementMaintain accurate CRM records and pipeline updates across all businesses
Track lead statuses, follow up activity, and appointment outcomes
Ensure organized documentation and communication history for every patient interaction
Administrative & Back Office SupportSupport office staff with administrative overflow tasks during lower call volume periods
Assist with scheduling, document preparation, data entry, and file organization
Maintain spreadsheets, reports, SOPs, and internal systems as needed
Provide post sale and post appointment follow up support to improve customer experience
Communication & Relationship BuildingCommunicate professionally with both English and Spanish speaking patients and customers
Represent the businesses in a polished, trustworthy, and patient centered manner
Maintain confidentiality and professionalism while handling sensitive patient information
Qualifications & Skills Must Have:Previous experience in sales, appointment setting, customer success, or patient coordination
Excellent spoken English with a clear and professional communication style
Fluent Spanish communication skills
Strong computer and multitasking skills
Experience using CRMs, scheduling tools, spreadsheets, and communication platforms
Ability to build trust and rapport naturally over the phone
Organized and detail oriented with strong follow through
Comfortable balancing sales responsibilities with administrative support work
Ability to work independently in a remote environment with minimal supervision
Preferred:Experience in healthcare, wellness, telehealth, hormone therapy, peptides, supplements, or medical sales
Experience selling premium or high ticket services
Familiarity with HubSpot, GoHighLevel, Close, or similar CRM systems
Experience handling patient communication or healthcare scheduling
Understanding of consultative sales methodologies
Familiarity with automation or follow up workflows
